How ireflect Actually Works
How does ireflect work for students?
Students simply scan a QR code (from a poster you display) with their phone or device. This takes them straight to a check-in wheel where they rate different areas of their wellbeing using an intuitive wheel design. They complete their check-in and immediately see supportive resources based on their responses. No app download or account creation required for public wheels.
What do students actually see when they complete a check-in?
After rating areas like sleep, friendships, learning, mental health (or whatever segments you choose), students get immediate feedback with:
- Targeted resources and tips for their lowest scoring areas
- Access to 24/7 crisis support if needed
- A visual summary of their responses
- Helpful activities and information relevant to their wellbeing
How easy is it for students to participate during R U OK Week?
Very easy! Students have two options:
Option 1 (easiest): If using a camera-enabled device (tablet, laptop with camera):
- Scan your QR code poster
- Rate how they’re going in different life areas by clicking on the wheel
- Click “Complete Check In”
- View their personalised resources
Option 2: If no camera available:
- Access the unique URL link (from email, school portal, or typed into browser)
- Rate how they’re going in different life areas by clicking on the wheel
- Click “Complete Check In”
- View their personalised resources
No usernames, passwords, or app downloads required for either option.
Public vs Private Wheels – What’s the Difference?
What are public wheels and when would I use them?
Public wheels are completely anonymous – perfect for R U OK Week! Students scan a QR code, complete their check-in, and their responses go into an aggregated pool. You’ll see overall class/group trends but can’t identify individual students. Great for:
- R U OK Day activities
- Workshop feedback
- Getting a snapshot of group wellbeing
- When you want complete student anonymity
What are private wheels and how are they different?
Private wheels require students to create accounts and join your specific wheel. This means:
- You can track individual student progress over time
- Students can see their own trends and improvement
- Red flag alerts can identify specific students needing support
- Perfect for ongoing pastoral care and individual wellbeing tracking
- Available with full ireflect subscriptions after R U OK Week
Can I use both types of wheels?
Absolutely! Many chaplains use public wheels for whole-school events and private wheels for ongoing small group or individual pastoral care.
Setting Up and Managing Wheels
Can I create multiple wheels for different groups?
Yes! You can create separate wheels for:
- Different year groups (Year 5, Year 6, Year 7 classes)
- Students vs staff
- Different school activities or events
- Specific pastoral care groups – each wheel can have its own QR code and settings.
How do I invite students to join my wheel?
For public wheels (R U OK Week): Display the QR code poster we provide – students scan and participate immediately. For private wheels (ongoing use): Students click an invitation link, create a quick account, then join your wheel for ongoing check-ins.
Can I invite staff to use ireflect too?
Definitely! Staff wellbeing is just as important. You can create separate wheels for staff or include them in whole-school initiatives. Many schools find staff check-ins valuable for understanding workplace wellbeing.
Customising Your Experience
Can I change the questions during R U OK Week?
For the R U OK Week event, you’ll use pre-set template wheels that are already optimised for the campaign. However, you can choose from different templates (student focus, staff focus, etc.) when you sign up.
What if I want to customise questions for my school’s specific needs?
After R U OK Week, with a full ireflect subscription, you can fully customise:
- Which life areas to include (sleep, friendships, learning, family, mental health, etc.)
- Question wording to match your school’s language
- Add school-specific segments relevant to your community
- Adjust the wheel design and colours
How do I know which areas/segments to include?
Start with the evidence-based templates we provide, then adjust based on:
- Issues you commonly see in your pastoral care work
- Your school’s wellbeing priorities
- Student feedback about what matters to them
- Trends you notice in your initial data
Viewing and Using Results
What kind of data will I see?
For public wheels (R U OK Week): Aggregated class or group data showing overall trends – for example, “60% of responses rated sleep as 3 or below” or “friendships scored highest across the group.”
For private wheels (ongoing use): Individual student progress over time, plus group trends. You can see which students might need support and track improvement.
Can I share ireflect data with other staff or school leadership?
Yes! You can export data as PDF reports or Excel spreadsheets to:
- Share wellbeing insights with your principal
- Inform school wellbeing planning
- Collaborate with other pastoral care staff
- Demonstrate the impact of wellbeing initiatives
How quickly can I see results?
Immediately! As soon as students complete check-ins, you can view the aggregated data in real-time. Perfect for adapting your R U OK Week activities based on what students are telling you.
Tracking Progress Over Time
Can I see how my class or group improves over time?
Yes! Even during R U OK Week, if you do check-ins on Monday and Friday, you can compare the data to see changes. With ongoing use, you can track:
- Weekly, monthly, or term-based trends
- Which interventions are working
- Seasonal patterns in student wellbeing
- Long-term impact of pastoral care programmes
Can students see their own progress?
With private wheels (ongoing subscriptions), students can log in and view their personal wellbeing trends over time. This helps them:
- Understand their patterns
- See improvement areas
- Take ownership of their wellbeing journey
- Have more meaningful conversations with you about their progress
Technical and Practical Questions
What devices can students use?
Any device with internet access works with ireflect through web browsers – no app download required. Students can use:
- School-issued laptops or tablets (if your school has a device programme)
- Shared classroom computers or tablets
- Computer lab/IT room computers
- Library computers
- Personal devices only if your school policy permits
What if my school doesn’t allow personal devices or phones?
Most schools operate this way! ireflect works perfectly with school devices:
- Use your computer lab for whole-class check-ins
- Rotate students through shared classroom computers/tablets
- Utilise library computers during pastoral care time
- Access through existing school devices during designated times
What if my classroom only has one computer or device?
This works perfectly! Students can rotate through completing their check-ins on the single device:
- Each student takes 2-3 minutes to complete their check-in
- No login required, so it’s quick to switch between students
- You can supervise to ensure privacy while students complete their responses
- Use the unique URL link rather than QR codes for easy access
What if students don’t have camera-enabled devices for QR codes?
Every wheel comes with a unique URL link as well as a QR code. Students can:
- Click the link from an email you send to their school accounts
- Access it through your school’s learning management system or portal
- Type the shortened link directly into any browser
- Use it on any shared school device
How long does a check-in take?
Usually 2-3 minutes. Students simply rate different life areas on the wheel and click complete. It’s designed to be quick but meaningful.
How often should students complete check-ins?
This varies by school and purpose:
- Most common: Once per week during pastoral care or homeroom time
- Daily check-ins: Some schools use this during intensive periods (exam weeks, after incidents, during mental health awareness campaigns)
- Weekly: Standard frequency for ongoing wellbeing monitoring
- Fortnightly: Works well for busy schools or as a lighter touch approach
- Event-based: Before and after significant school events, holidays, or challenging periods
For R U OK Week, many schools do check-ins at the start (Monday) and end (Friday) to see any changes during the week.
What if I have poor internet or technical issues?
